General FAQs

General Car, Van & Minibus Queries - Answered

All prices include your chosen vehicle for the specified period, Our standard insurance with the applicable excess amount, 24/7 Breakdown cover, VAT & any ancillary charges you may have requested.

All hires are calculated on a 24 hour basis, this may be adjusted to suit the hirers requirements subject to availability.

We can also offer half day hires for upto 4 hours between 08:30 - 12:30 & 13:00-17:00 - Please call our office on 0191 4888 700 for pricing.

At MVH Rental we believe in the personal touch, once your booking has been placed on line the rental team will process the booking as required and confirmation will be provided via the email address supplied at point of booking. Please read this email carefully as it details the documents required to be presented upon collection of your vehcile by all nominated drivers.

All payments via our secure online gateway will be pre-authorised by the issuing card holder at point of booking, we will only draw the funds once we have confirmed the booking and provided confirmation via email.

Due to availability, should the requested vehicle not be available our team will contact you as soon as possible to discuss alternative options, at this point once agreed we will then request the funds from the issuing bank.

After booking your chosen rental vehicle in person a confirmation email will be sent to the email address supplied along with confirmation of any balances/deposits paid at the time off booking.

All drivers including any nominated additional drivers must provide the following documents prior to the hire commencing  via email to or on the day of collection.

UK License - Photocard License, this must be presented at point of collection and must be registered to the driver’s home address.

UK License - Old style paper licenses, these may be presented but will require the addition of a valid passport with a minimum 6 months before expiration. (This is in addition to the proofs of address)

DVLA Check Code - Due to new laws introduced by the DVLA drivers are no longer issued with a paper counterpart for their driving license & are required to present a check code individual to themselves via the following website -

This code is unique to each individual and must be created no sooner than 21 days prior to the hire commencing.

Proofs of address - Each driver must provide x2 of the following utility bills/bank statements/credit card statements and or water/gas/electricity or council tax bills dated within the last 3 months.

If a deposit has been paid to secure your booking please note the final balance is payable no later than within 28 days prior to collection for Minibus hires & 14 days for all cars/vans.

Refundable security deposits - Drivers 25-75 years of age, our standard security deposit for all vehicles is £250 payable via credit/debit card on the main driver’s card upon collection of the vehicle.

Drivers aged 21-25 years of age our standard security deposit is £500 payable on the main driver’s credit/debit card, this is regardless of the age of any additional drivers who may be aged 25+

Deposits are refundable to the card issued at point of hire once the vehicle is returned subject to the following conditions –

  • Full tank of fuel on return
  • No additional damage (outside of industry fair wear & tear – this can be found separately under our FAQ’s page)
  • No speeding/parking fines or any other traffic offences are issued and payable by the hirer
  • Most card issuers process refunds within 3-5 business days but can occasionally take up to 10 working days

* Pre-Authorised deposits – If hiring for a maximum of 3 days we are able to pre-authorise the deposit amount of £250 or as agreed at point of booking via a Credit Card in the driver’s name.

What does this entail? A pre-authorisation on a credit/debit card allows the issuing bank to freeze the deposit amount without a physical transaction taking place (Most banks allow this without any interest charges)

The deposit amount is securely held by the issuing bank and returned to your physical balance in 5-7 working days from date of request.

**Please note - certain bank/card issuers may take longer than 5-7 working days for the pre-authorised amount to be available via your physical balance and MVH Rental are unable to influence this**

The balance or partial balance would only become payable in the event of the following –

  • Fuel returned less than full at point off return
  • Speeding/Parking or other offences issued against the driver during the duration of the hire
  • Damages outside of industry standards
  • Late returns without authorisation from a member of the MVH Rental team

Prior to any charges been applied MVH Rental will always communicate and justify the charges with the customer.

***Please note we are unable to accept the following card types – American Express, Diners Card, Electron and/or pre-paid debit/credit cards**
